We encourage you to read this policy carefully before making a purchase. By making a purchase on our website, you acknowledge that you have read, understood, and agree to the terms of this refund policy.

Premium Subscription Refunds

14-Day Cooling-Off Period

If you are a consumer in the European Union, you have a legal right to a 14-day cooling-off period, during which you can cancel your subscription without giving any reason and receive a full refund.

The cooling-off period expires 14 days after the day you purchased your subscription. To exercise your right of cancellation within the cooling-off period, you must inform us of your decision to cancel by sending a clear statement by email to refunds@polandgamershub.com.

Subscription Cancellations After 14 Days

After the 14-day cooling-off period, you may still cancel your subscription at any time, but refunds will be handled as follows:

  • Monthly Subscriptions: No partial refunds will be issued for the current billing month. Your subscription will remain active until the end of the current billing period and will not renew thereafter.
  • Annual Subscriptions: We may issue a prorated refund for the unused portion of your subscription at our discretion, less a 10% administrative fee. Alternatively, your subscription will remain active until the end of the current subscription period and will not renew thereafter.

Automatic Renewal

Our subscriptions automatically renew unless you cancel them. You can cancel the automatic renewal of your subscription at any time by accessing your account settings or by contacting customer service. If you cancel before the renewal date, no charge will be made for the next billing period.

Free Trial Conversions

If you signed up for a free trial that converted to a paid subscription, you may request a refund within 48 hours of the first charge if you forgot to cancel during the trial period. After 48 hours, our standard refund policy applies.

Merchandise Refunds

Return Eligibility

We accept returns of merchandise under the following conditions:

  • The item is returned within 30 days of delivery
  • The item is in its original condition and packaging
  • You have proof of purchase (order number or receipt)

Return Process

To return merchandise:

  1. Contact our customer service team at returns@polandgamershub.com to obtain a Return Merchandise Authorization (RMA) number
  2. Pack the item securely in its original packaging if possible
  3. Include your RMA number on the outside of the package
  4. Ship the item to the address provided by our customer service team

Refund Processing

Once we receive and inspect your return, we will notify you of the approval or rejection of your refund. If approved, your refund will be processed and a credit will automatically be applied to your original method of payment within 10 business days. Please note that it may take an additional 2-10 business days for the refund to appear in your account, depending on your payment provider.

Return Shipping Costs

Customers are responsible for return shipping costs unless the return is due to our error (you received an incorrect or defective item). In cases where the return is due to our error, we will provide a prepaid shipping label.

Damaged or Defective Items

If you receive a damaged or defective item, please contact us at returns@polandgamershub.com within 7 days of receiving your order. Please include photos of the damaged item and packaging. We will arrange for a replacement or refund at our discretion.

Event Ticket Refunds

Standard Event Tickets

All event ticket sales are generally final and non-refundable unless the event is canceled or rescheduled. If an event is canceled by PolandGamers Hub, you will receive a full refund automatically.

Event Rescheduling

If an event is rescheduled, your tickets will be valid for the new date. If you cannot attend on the new date, you may request a refund within 14 days of the announcement of the new date.

Virtual Events and Webinars

Tickets for virtual events and webinars are non-refundable, but you will have access to recordings of the event for a specified period if you are unable to attend live.

Premium Event Packages

For premium event packages, cancellations made at least 30 days before the event date may be eligible for a partial refund of 50% of the ticket price. Cancellations made less than 30 days before the event are non-refundable.

Digital Content and Services

Due to the nature of digital content, all sales of digital products (e-books, guides, digital reports, downloadable content) are final and non-refundable once the content has been delivered, except as required by applicable consumer protection laws.

For services such as consultations, coaching sessions, or custom research:

  • Cancellations made at least 48 hours before the scheduled service may receive a full refund
  • Cancellations made less than 48 hours before the scheduled service may receive a 50% refund
  • No-shows or cancellations after the service has begun are non-refundable

If you are dissatisfied with the quality of a service, please contact us within 7 days of service delivery to discuss potential remedies, which may include a partial refund or additional service time at our discretion.

Advertising and Promotional Services

For businesses purchasing advertising space, sponsored content, or promotional services on PolandGamers Hub:

  • Cancellations made before advertising content is published or promotional services begin may receive a refund less a 20% administration fee
  • Once advertising has been published or promotional services have begun, no refunds will be issued
  • If we fail to deliver the agreed-upon advertising or promotional services as specified in your contract, you may be eligible for a proportional refund based on the extent of the discrepancy between promised and delivered services

How to Request a Refund

To request a refund, please follow these steps:

  1. Send an email to refunds@polandgamershub.com with the subject line "Refund Request"
  2. Include the following information:
    • Your full name
    • Order number or transaction ID
    • Date of purchase
    • Item or service purchased
    • Reason for requesting a refund
    • Any relevant documentation (e.g., photos of damaged merchandise)
  3. For subscription cancellations, you can also use the cancellation option in your account settings on our website

We aim to respond to all refund requests within 2 business days. Once your request has been reviewed, we will notify you of our decision and process any approved refunds promptly.

Refund Processing Time

Refund processing times vary depending on your payment method:

  • Credit/Debit Cards: 5-10 business days
  • PayPal: 3-5 business days
  • Bank Transfers: 7-14 business days
  • Other Payment Methods: Processing times may vary

Please note that while we process refunds promptly on our end, the actual time for the refund to appear in your account depends on your financial institution or payment provider.

Exceptions to the Refund Policy

We reserve the right to refuse a refund request if:

  • The request is made outside the specified refund timeframes
  • The product shows signs of misuse, damage, or wear beyond inspection
  • Digital content has been downloaded, accessed, or consumed
  • Custom or personalized items were created specifically for you
  • Services have been fully delivered according to specifications
  • The refund is requested due to a change of mind on promotional or discounted items clearly marked as non-refundable

However, these exceptions do not affect your statutory rights as a consumer, including rights under applicable consumer protection laws.

Special Circumstances

We understand that special circumstances may arise. If you believe your situation warrants special consideration outside our standard refund policy, please contact our customer service team with details, and we will review your case individually.

In cases of verified fraud, technical error, or other exceptional circumstances, we may extend the refund period at our discretion.
